🎤Recording Your First Visit
Before You Start:
For the best results, take 30 seconds to get set up before your first visit:
Test your microphone - Click the microphone on your dashboard and confirm your device is picking up audio clearly. For most providers, the built-in microphone on a laptop, tablet, or phone works perfectly.
For telehealth visits - Use a secondary device to capture audio from your telehealth platform. Place it next to your speaker so ScribeAI can hear both sides of the conversation clearly.
Starting an Encounter
Click +New Encounter on your dashboard.
Select or enter your patient:
With EHR integration: You'll see a search button for your connected system (e.g. "Search Healthie" or "Athena Appointments", etc.) on the left panel of the dashboard. Select your patient directly from your existing schedule or patient list.
Without EHR Integration: Type your patient's name to create the encounter.
Click Start Recording when you're ready to begin.
Conduct your visit as you normally would. There's no need to change how you speak or prompt the AI. ScribeAI automatically captures the key parts of your conversation and builds your documentation in the background.

Tip: Keep your device within 6 feet of the patient for best audio quality. You don't need to narrate or say anything special. Just have a natural visit.
Pausing and Resuming
If you need to step out or have a private conversation, click Pause. Click Resume when you're ready to continue. Paused sections are not included in the transcript or your note.
Upload Audio
What it is: A way to transcribe pre-recorded audio files and add them directly to an encounter transcript.
What it's for: Providers who recorded a visit externally, need to add audio context from another source, or prefer to record on a separate device and upload afterward.
Supported file formats: MP3, MP4, WAV, M4A
How to upload audio:
Open an encounter and click Upload Audio File
Select your audio file
ScribeAI will transcribe the file and add it to your custom notes
Press Save Instructions and it will add to your transcript

Custom Instructions
What it is: A text field available directly on the recording screen that lets you add written context to an encounter — separate from or in combination with your live audio recording.
What it's for: Adding information that wasn't captured verbally during the visit — such as lab results, diagnostic findings, or any additional clinical detail you want included in the note.
How to use Custom Instructions:
During an encounter, click Custom Instructions below the recording controls
Type or paste any relevant information (e.g. "Lab results from 2/24: BNP elevated at 450, BMP within normal limits")
Click Save Instructions
ScribeAI will combine your written input with the audio transcript when generating the note

Tip: You can use Custom Instructions alongside a live recording or an uploaded audio file — or on its own if you prefer a fully text-based workflow for certain visits.
Ending an Encounter
When your visit is complete, click Pause. You can always return to an encounter to add additional context after the patient leaves. For example, you may like to add details to the assessment/plan that you might have left out during the encounter. There is no formal End Visit button.
